Job Opportunity:

We are looking for a proactive and detail-oriented professional with 5 years of experience to join our team and support students, agents, and internal departments across Academic, Finance, and Admissions functions. This is a dynamic role that requires excellent communication skills, strong organizational ability, and a passion for helping students succeed in their academic journey.

Work Timings:

  • Melbourne Time: 9:00 AM – 5:00 PM

Key Responsibilities:

Academic Support

  • Assist students with course information, timetables, assessments, and documentation requests.
  • Follow up on student submissions, attendance, and academic progress.
  • Coordinate with teachers for schedules, learning materials, and student updates.
  • Maintain accurate student records in systems like MS Teams.

Finance Support

  • Record student payments and send receipts to students/agents.
  • Reconcile bank transactions in Xero.
  • Generate invoices for tuition fees, sub-leases, utilities, and office expenses.
  • Review and record agent commission invoices, track outstanding & paid amounts.
  • Follow up with students for pending tuition payments.
  • Process refunds and respond to finance-related inquiries.

Admissions Support

  • Process enrolment applications submitted via email, fax, or mail.
  • Prepare letters of offer and coordinate deposit payments with Finance.
  • Manage student enrolment (agreements, ID docs, health insurance, etc.).
  • Prepare weekly enrolment reports and share updates with management.
  • Handle re-enrolments, withdrawals, and cancellations with proper documentation.
  • Maintain accurate records in the Student Management System (SMS).
  • Liaise with students, agents, and internal teams to ensure smooth processes.

Required Skills & Qualifications:

  • Minimum 5 years of experience in student support, admissions, finance, or related operations.
  • Excellent English communication skills (spoken & written).
  • Prior experience in international student services, BPO/KPO, or calling processes preferred.
  • Familiarity with MS Teams, Xero, and Student Management Systems is an advantage.
  • Strong coordination, documentation, and organizational skills.
